With a few keystrokes on your PC, RAPIDREACH will call an unlimited number of people such as emergency crews, key personnel, police, fire, public agencies, customers, media, residents, etc. and provide critical information to responders. The original version of the RAPIDREACH system was developed in 1992 to handle staffing emergencies during snow storms but has evolved to handle many other applications, including emergency notification in environmental industries, nuclear plants and labs, utilities and various public agencies. The system is also used in business recovery and contingency planning in financial services and other industries where changing circumstances require fast notification and staffing." RAPIDREACH transmits information fast and reliably over telephone lines to selected groups of people. The information can consist of assignments, messages, requests or other information that needs to be distributed quickly and effectively. Messages can be either pre-recorded or recorded on the spot during a CallOut. Using a touch-tone phone, the recipients can confirm receipt of the message and respond with additional information. RAPIDREACH saves time since calls can be made simultaneously over a large number of telephone lines. A dialog is obtained more rapidly and efficiently than with manual calls. Since the calls are made automatically, less human intervention is required, so that personnel can be released from routine telephone activities and concentrate on other tasks a hand. - - - - - - - - - SYSTEM DESCRIPTION RAPIDREACH consists of multimedia-based software in a Windows(tm) environment, plus hardware for message handling and managing the telephone lines. In its standard version, it is a one-user system using one PC for all functions. In cases where several people need to access the system and activate the Call-Out, the system can be operated in a network. A separate node then operates as call server. There are several password controlled access levels, preventing unauthorized use. RAPIDREACH operates on ordinary telephone lines and utilizes up to 480 lines. It can be installed behind a PBX or as a stand-alone system. - - - - - - - - - KEY FEATURES "RAPIDREACH has a number of features designed to facilitate and maximize the efficiency of the calling process. Messages as well as names and telephone numbers of groups of people are easily entered into the system. All data is stored in easy-to-access directories. The graphic user interface is designed so that only basic computer skills are necessary to operate the system. Most functions can be activated by a few key strokes or mouse clicks. An interactive On-Line Help feature provides detailed instructions to the user." - - - - - - - - - MESSAGES You record your messages digitally, through a microphone directly into the system. No separate tape recorder is needed. Your save your messages in a tree directory, allowing quick access and selection at the time of the Call-Out. Messages can easily be modified or you can record a new one on-the-spot at the time of the Call-Out. Utilizing the latest multimedia technique, you can play back, check and edit your messages at any time. Message time and number of messages are unlimited." - - - - - - - - - DIRECTORIES Names of call recipients are entered and stored in a tree directory. Each name is accompanied by a search list with any number of telephone numbers: office, home, weekend home, mobile phone, pager, etc. During a Call-Out, the system runs through the list until the searched person answers and confirms receipt of the call. Names and telephone numbers can be sorted and organized in groups and subdirectories. To ensure that a certain number of people are always reached, the groups can be complemented by a list of reserves, who are automatically called if any of the primary persons cannot be reached. - - - - - - - - - CALLING Sending a message to one or several groups of people is accomplished in a matter of seconds with a few key strokes or mouse clicks. You can also make more complex Call-Outs involving different messages to different groups of people, by simply selecting messages and groups from your directories. RAPIDREACH will call several groups, or lists, at the same time. The interactive process allows you to modify the Call-Out, delete individuals and stop an individual call at any time. Call recipients confirm receipt of the call by entering a code on their telephone keypad. They can also transmit information back to the system, such as Fit-for-Duty, etc. A paged person calls in to the system to receive his message. - - - - - - - - - FOLLOW-UP The entire calling process can be monitored and documented in detail. RAPIDREACH records exact times of when a call is placed, received and confirmed. The result is presented on your screen in real-time and can be printed for follow-up. Since all calls are logged you can refer back to individual calls in order to check times and actions taken. The Call-Out can be restarted at any time and will then automatically call only the people who were not reached the first time. - - - - - - - - - *** SELECTED FEATURES *** - Remote activation, allowing the user to activate a Call-Out from any touchtone phone. PIN and password prompts ensure only authorized use. - Predefined scenarios, allowing you to set up and combine Call-Out groups, messages and call parameters in advance. Saved scenarios can then be activated on-site or remotely. - Text messages, for alpha pagers and fax machines - Scheduling, allowing the system to intelligently determine who to call at any given time. - Fax compatibility, allowing you to send messages to fax machines and to send Call-Out reports to fax machines. - Import and Export in standard a Database format, allowing for easy transfer of personnel data from other databases. - - - - - - - - - SYSTEM CONFIGURATION AND OPTIONS, RAPIDREACH VERSION 5.0 The modular design of RapidReach allows you to customize a system for your specific needs. Firstly, decide whether you want a stand-alone (RR-STD) or a network (RR-PRO) system. Both these systems include software license and hardware for 4 analogue telephone lines. As an alternative you can select RR-STD-BRI or RR-PRO-BRI for ISDN BRI lines. If you prefer 16 lines and above, you may select RR-STD-0 or RR-PRO-0, which don't include any lines. Then add modules for any extra number of lines you want, in 4-line increments (RR-4LIN), in 16 lines increments (RR-16LIN)*, in 24-line ISDN increments (RR-24LIN)*, or in 30-line ISDN increments (RR-30LIN)*. If you want to run the system in your network, you can add any extra user clients you want, in 3-user increments (RR-3US). After you have decided what kind of system you need, you add any of the system options below for additional functionality. Configurations including Automatic Backup and Multiple Server are also available. - - - - - - - - - FAX (RR-4FAX) This option allows transmission of text and graphic messages to fax machines. Messages can be either brief text messages (same as for alpha paging), complete text files or graphic files from other applications. This is useful for faxing for example press releases, forms to authorities, info to management, etc. A text or graphic file from another application (i.e. Word, Excel, etc.) is connected to a RapidReach message. A cover page or header will be generated, naming the fax addressee and fax number. The system can be set to notify the fax recipient by telephone that a fax has been sent to him/her and ask for confirmation of receipt. Operates via separate fax card (included with the module). This option requires the same number of telephone lines as faxlines. - - - - - - - - - ALPHA PAGING (RR-APAG) This option allows transmission of text messages to alphanumerical pagers. Certain cellular phones with text message capabilities are also supported (i.e. GSM telephones with SMS service). Operates via modem (not included). - - - - - - - - - SCHEDULING (RR-SCH) This option allows entry of duty rosters in either a calendar based schedule or a shift based schedule, determining the person's availability at any given time. At the time of the Call-Out, the system will intelligently determine, based on the schedule, if an individual is available as a primary or secondary or not at all. The calendar schedule is based on 24-hour periods and you can define the start of the period (i.e. 00:00, 06:00, etc.). The shift schedule allows you to define any number of shifts in a 24-hour period, their time interval and repeat cycle. It also supports deviations, replacements, etc. during user-defined time intervals. Schedules can be printed. This option is included in RapidReach Pro. * Only available in some countries. - - - - - - - - - EASYVIEW MONITORING (RR-EV) This option allows selecting and activating scenario call-outs, plus monitoring of callout in progress in a multi-color grid. The grid is comprised of rows and columns with boxes, where each box represents a position being called. A position that has been filled is green, a position currently being called is yellow, and a position that has not been filled is red. All groups in a call-out are shown on the same screen, facilitating the operator's monitoring of who is responding and who isn't. Once the system is set up, and besides periodic maintenance, changes in the database, etc., this is the only screen the operators would need to use. Learning and operating the system thus becomes quite a bit easier and quicker. RapidReach Pro only. - - - - - - - - - EASYVIEW MONITORING FOR CLIENT SERVER CONFIGURATION (RR-EV-C/S) This option is the same as RR-EV but it is implemented as a Client/Server configuration using DCOM. This configuration is especially suited for low speed networks or connections between the client and the server as dial up connection or a WAN. RapidReach Pro only. - - - - - - - - - E-MAIL (RR-EMA) This option allows the transmission of e-mail messages, using Internet based SMTP protocol. E-mail is set up as a "Contact Category" and each individual's e-mail address is set up in his/her "phone/address book". Operates via LAN or modem (not included). RapidReach Pro only. - - - - - - - - - RAPIDREACH INTERNET (RR-IBAS) Use a standard Web browser on the Internet or on your Intranet to activate call outs or to maintain personnel information. RapidReach Pro only. - - - - - - - - - GEOCALL (RR-GEO) Add the power of GIS to your automated notification. With GeoCall, calling targets may be selected by choosing areas or individual points on a map. Calls can be prioritized based on their distance from a chosen point. Calling targets may be selected by a few clicks: circles, sections of a circle, and rectangles are supported. Does not include GIS map. - - - - - - - - - CALL OUT ENGINE (RR-COE) "This option allows several independent organizations or external applications to take advantage of the power of automated calling. The Call Out Engine conducts call outs by interpreting a task file in .XML format and returning results to the external application." - - - - - - - - - AUTOMATIC BACK-UP (RR-BUP) This option allows the continual back-up of data during operations from a working directory of RapidReach to another location. Database files are after a configurable delay copied automatically to a specified backup location. This is a separate application. Operates via network or modem (not included). RapidReach Pro only. - - - - - - - - - MASTER/SLAVE Redundancy is the key to survivability in the digital world. If you need to add redundancy to your emergency notification system, RapidReach can be configured to mirror data to a remote backup server. Your call outs can proceed even if your primary location is compromised. Requires Automatic Backup. RapidReach Pro only. - - - - - - - - - FAX-ON-DEMAND (RR-FOD) This option allows callers to the built-in information system to request documents (fax or graphic) to be faxed to a specified fax number. Operates via the same fax card as RR-FAX. This option requires the RR-FAX option. RapidReach Pro only. - - - - - - - - - PROGRAMMING INTERFACE (RR-API) Supports selection and start of scenario call-out from another application by calling a DLL file.
